1. Who We Are
Kinwood is an outdoor wellness app that centers Black voices, offering guided walks, soundscapes, meditations, and a private journal — built to get you outside and to meet you wherever you are. Kinwood Corporation is the controller responsible for the personal information processed through the Service. You can reach us about privacy matters at support@kinwood.co.
2. Information We Collect
We collect information in three ways: information you provide directly, information collected automatically as you use the Service, and information we receive from third parties.
Information you provide
- Account information — such as your name, email address, and the credentials used to sign in. Sign-in and account authentication are handled by our authentication provider.
- Profile and preferences — settings and choices you configure, such as content preferences, reminders, and app settings.
- Journal content — the entries you create, including text, mood selections, and, if you choose to add them, photos, and voice memos. Journal content is private to your account. You can also enable a Face ID / biometric lock for your journal; biometric authentication is performed on your device by your operating system, and we never receive or store your biometric data.
- Location (optional) — if you enable location for journaling, we capture the approximate coordinates and city associated with an entry so it can be shown on that entry. This is off unless you turn it on, and you can remove it at any time.
- Activity you create — such as play history, playlists, and downloads.
- Support and communications — the content of messages you send us, including your email address and the details of your request.
Information collected automatically
- Usage data — how you interact with the Service, such as features used, screens viewed, content played, and session activity.
- Device and technical data — device type and model, operating system, app version, language settings, and general diagnostic information.
- Log and network data — IP address and related network information, used for security, fraud prevention, and troubleshooting.
- Diagnostics and crash data — error reports and performance data that help us identify and fix problems.
- Push notification tokens — if you enable notifications, a device token used to deliver reminders and updates. You can disable notifications at any time in your device settings.
Information from third parties
- Authentication providers — when you sign in, we receive account identifiers and basic profile details from our authentication provider.
- App stores and payment providers — when you purchase a subscription, the Apple App Store or Google Play processes your payment and shares subscription status and transaction identifiers with us. We do not receive or store your full payment card details.
3. How We Use Your Information
We use personal information to:
- Provide, operate, and maintain the Service, including your account, journal, and content library.
- Personalize your experience and remember your preferences.
- Process subscriptions and manage entitlements and billing status.
- Communicate with you about updates, features, reminders you enable, and support requests.
- Understand how the Service is used so we can improve and develop it.
- Maintain the security and integrity of the Service, prevent abuse and fraud, and troubleshoot problems.
- Comply with legal obligations and enforce our Terms of Use.
We do not sell your personal information, and we do not use your journal content to serve advertising.
4. Legal Bases for Processing
If you are in the European Economic Area, the United Kingdom, or another region with similar laws, we process your personal information on the following legal bases:
| Purpose | Legal basis |
|---|---|
| Providing the Service and your account, and fulfilling our agreement with you | Performance of a contract |
| Improving and securing the Service, preventing abuse, and analytics | Our legitimate interests |
| Optional features such as location on journal entries, notifications, and non-essential analytics | Your consent (which you can withdraw at any time) |
| Meeting legal, tax, and regulatory obligations | Compliance with a legal obligation |
5. Cookies and Similar Technologies
Our website uses cookies and similar technologies as described below. Non-essential analytics are off unless you consent. You can accept, reject, or change your choice at any time using the Cookie settings control. We also honor Global Privacy Control signals by disabling optional analytics.
| Category | Technology and purpose | Duration |
|---|---|---|
| Essential | Kinwood local storage records your consent choice and policy version. It is not used for advertising. | Until you clear browser storage, change your choice, or we replace it after a policy update |
| Analytics (optional) | Privacy-focused analytics measure aggregate website visits and performance. Kinwood loads them only after you consent. | According to our analytics provider's configured retention period |
Our mobile app uses separate technologies, such as device identifiers and local storage, to keep you signed in and understand usage. You can control applicable permissions and identifiers through the app and your device settings.
6. How We Share Information
We do not sell your personal information. We share it only in the following circumstances:
- Service providers. We use trusted vendors that process information on our behalf under contractual and confidentiality obligations, only for the purposes described in this policy. These include providers for authentication, cloud hosting and databases, subscription management, analytics, error and crash reporting, and content delivery.
- App stores and payment processors. Apple and Google process subscription purchases made through their platforms.
- Legal and safety. We may disclose information if required by law, regulation, legal process, or governmental request, or where necessary to protect the rights, safety, and security of Kinwood, our users, or the public.
- Business transfers. If Kinwood is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
- With your direction. We share information with others when you ask us to or otherwise direct us to.
The categories of service providers we rely on include:
| Category | Purpose |
|---|---|
| Authentication | Account sign-in and identity management |
| Cloud hosting and database | Storing and serving your account and content data |
| Subscription management | Managing subscriptions and entitlements |
| Analytics | Understanding usage to improve the Service |
| Error and crash reporting | Diagnosing and fixing problems |
| Content delivery | Delivering meditations, audio, and other content |
7. Data Retention
We retain personal information for as long as your account is active or as needed to provide the Service. When you delete your account or specific data, we delete or de-identify the associated information, except where we are required or permitted to retain it — for example, purchase and subscription transaction records, security and diagnostic records, or information needed to meet legal, tax, or accounting obligations, resolve disputes, or prevent abuse. Some of these records are held by app stores or our service providers under their retention requirements. Residual copies in backups are purged on our standard backup rotation schedule. For details on what is deleted and what may be temporarily retained, see Delete Your Data.
8. How We Protect Your Information
We use administrative, technical, and organizational safeguards designed to protect personal information, including encryption in transit, access controls, and restricted internal access. The optional journal lock adds an on-device layer of protection using your device's biometrics or passcode. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your information and to respond appropriately if an incident occurs.
9. International Data Transfers
Kinwood and our service providers may process and store information in countries other than the one in which you live, including the United States. These countries may have data protection laws that differ from those in your jurisdiction. Where required, we put appropriate safeguards in place for such transfers, such as standard contractual clauses, to protect your information.
10. Your Privacy Rights
Depending on where you live, you may have some or all of the following rights regarding your personal information:
- Access — request a copy of the personal information we hold about you.
- Correction — ask us to correct inaccurate or incomplete information.
- Deletion — request that we delete your personal information.
- Portability — request a copy of certain information in a portable format.
- Restriction and objection — ask us to restrict or object to certain processing.
- Withdraw consent — withdraw consent at any time where we rely on it, without affecting processing already carried out.
You can exercise many of these rights directly in the app, including editing your profile and deleting your account or specific data. To make any other request, contact us at support@kinwood.co. We will respond within the timeframe required by applicable law and may need to verify your identity first. You also have the right to lodge a complaint with your local data protection authority.
11. U.S. State Privacy Rights
If you are a resident of California or another U.S. state with a comprehensive privacy law, you may have rights to know, access, correct, and delete the personal information we collect, and to appeal a decision on your request. You also have the right not to receive discriminatory treatment for exercising these rights.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising as those terms are defined under California law. To exercise your rights, contact us at support@kinwood.co or use the tools in the app. You may use an authorized agent to submit a request on your behalf, and we will take steps to verify the request.
12. Children's Privacy
The Service is intended for adults. It is not directed to children under 13 (or the minimum age required in your jurisdiction), and we do not knowingly collect personal information from children under that age. If you believe a child has provided us with personal information, please contact us at support@kinwood.co and we will take appropriate steps to delete it.
13. Third-Party Services and Links
The Service integrates with third-party platforms (such as app stores and casting devices) and may contain links to third-party websites or services. Their privacy practices are governed by their own policies, and we are not responsible for those practices. We encourage you to review the privacy policies of any third party you interact with.
14. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice through the Service. Your continued use of the Service after an update means you accept the revised policy.
15. How to Contact Us
If you have questions, concerns, or requests about this Privacy Policy or your personal information, contact us at support@kinwood.co. See also our Terms of Use and Delete Your Data page.
